Managing You Additional User
Create and manage your team members in the VirtualPools dashboard. This guide walks you through adding users, tracking their status, and troubleshooting common login issues.
Before You Start: Check Your Available Spots
Each license includes a certain number of Additional User Spots (team members). Before inviting new users, check how many spots you have available.
From your dashboard, go to:
Profile → Subscription
You will see your current subscription details, including how many user spots are available and how many are already in use.

How to Add Additional User Spots
If you need more team members than your current license allows, you can purchase additional spots directly from your dashboard:
- Log in to your dashboard at https://dashboard.virtualpools.io/
- Go to Profile → Subscription
- Look for the option to "Buy Users spots"
- Select how many spots you need
- Complete the purchase, the amount will be charged automatically to your payment method on file
Once purchased, the new spots become available immediately, and you can start inviting team members.
How to Invite Users
After confirming you have available spots, you can invite team members:
- From your dashboard, go to the Users page
- Click "Invite User"
- Enter the invitee's:
- First Name
- Last Name
- Email Address
- Click Send, the user will receive an invitation email with instructions to create their account

Tracking User Status
The Users page shows the current status of every team member:
Status | Description |
|---|---|
Invited | Invitation sent, but user hasn't accepted yet |
Accepted | User accepted the invite and created their account, but hasn't logged in to the app |
Active | User has logged into the application and is actively using it |
You can also use the search function at the top of the Users page to quickly locate specific team members or filter by status.
