Build Your Custom 3D Pool Configurator

Think of VirtualPools like a digital toolbox. Before you can build anything, you need to choose which tools go inside. Your custom 3D pool configurator is exactly that, your personal collection of pools, finishes, and accessories, ready to use whenever you open the app.

This guide walks you through every step, from understanding how the dashboard and app work together, to adding your first products and syncing everything to your app.

How the Dashboard and App Work Together

1. The Web Dashboard: This is your workshop. You log in here on your computer to choose which products (pools, stairs, lights, etc.) you want available.

If your dashboard layout looks incomplete or sections appear cut off, please refer to our guide “Dashboard Layout Issue”. This is usually related to screen size or browser width.

2. The Mobile App – This is your toolbox on the go. Once you've selected your products on the dashboard, they appear automatically in the app on your iPad, ready to design with clients.


Any changes you make on the dashboard must be synced to the app before they appear on your iPad. The app typically performs this synchronization automatically.

My Collection

The My Collection section contains all products and suppliers that are currently active in your 3D configurator. This library determines what you can access and present when designing projects or creating quotes.

In this section, you can:

  • Browse available categories and suppliers

  • See which products are already included in your collection

  • Add new products or suppliers to your configurator

  • Remove products you no longer use

Best practice: Keep your collection lean and relevant. Only add the products and suppliers you actively use. A focused library improves app performance, simplifies navigation, and makes client presentations more efficient.

1. The Catalogue

The Catalogue, located inside My Collection, allows you to expand your product library with additional content from the VirtualPools system.

Inside the Catalogue, products are organized into the following main categories:

  1. Pools

  2. Accessories

  3. Objects

Within these categories, you can browse all available suppliers, including newly added brands that are regularly updated in the system. The General Catalog is also available for commonly used items.

Use the Catalogue to add new products and suppliers to your collection, ensuring your configurator reflects the brands and items you actively work with.


2. Adding and Removing Products

Within the Catalogue, you can easily manage which products appear in your configurator.

  • Select Add on any product to include it in My Collection.

  • Select Remove on any product you no longer wish to use.

Any changes you make are reflected immediately in My Collection, ensuring your product library always stays up to date and aligned with your needs.


3. Requesting Access to Restricted Suppliers

Some pool suppliers require approval before their products can be added to your configurator. This ensures that only authorized dealers can access and present their brand.

If a pool supplier requires approval, you will see a Request button next to their name in the Catalogue.

To request access:

  • Select Request next to the supplier.

  • Your request will be sent directly to the supplier for review.

  • The supplier will either approve or decline your request.

  • Once approved, you will receive a confirmation email.

After approval, you can add the supplier’s pool products to My Collection as usual.

Accessories and Objects do not require supplier approval and can be added directly from the Catalogue.



Syncing Your Dashboard to the Mobile App

After making changes on the dashboard, your iPad app needs to sync in order to display the updated collection. Open the VirtualPools app on your iPad Pro. When a collection update is detected, a pop-up will appear prompting you to download the latest version. Tap Yes to start the update.


If no pop-up appears, you can manually trigger the synchronization by tapping the Refresh button at the top of the app screen (see image below). This forces the app to check for the latest updates.


Once the sync is complete, any newly added object categories, suppliers, or products will immediately become available in your app.

Additional Users : If your account was created by a supplier or you are an additional user under a main account, your product collection is managed by the account administrator. You cannot add or remove products yourself. Please contact your account administrator to request any changes.
